The challenge
Scattered content across multiple lines of business
Like most large global banks, this customer operates across multiple lines of business: corporate and investment banking, treasury services, wealth management, custody, and consumer banking. Each line of business handles its own RFP volume. Each LOB has its own SMEs, its own approved content, and its own approval requirements. Compliance and record keeping rules apply across all of them.
The bank's response teams faced three compounding problems. First, RFP volume kept growing as the bank competed for larger institutional mandates. Second, content was scattered across SharePoint folders, individual SME inboxes, and legacy databases that did not talk to each other. Third, the time spent finding and verifying content was eating into the time spent actually responding, with multi-month RFP cycles becoming the norm.
The bank needed a response management platform that could handle multi-LOB structure, support its compliance and record keeping obligations, integrate with the Microsoft Office tools its teams already used, and handle proposal generation alongside reactive RFP response.
Why RocketDocs
Three platform attributes drove the decision
Office-native simplicity
Bank teams already worked in Microsoft Word for proposal writing. The LaunchPad add-in brought the full RocketDocs platform into Word, so SMEs and writers did not need to learn a new interface or accept a re-platforming risk.
RapidDocs for proactive proposals
Beyond reactive RFP response, the bank needed to generate custom proposals for prospects, pitch decks for sales meetings, and personalized client materials at scale. RapidDocs provided logic-driven assembly that competitors could not match.
Compliance and record keeping
Banking compliance and record keeping obligations require an immutable audit trail and structured approvals. RocketDocs supported both as platform defaults, not as enterprise add-ons.
The solution
Multi-LOB deployment with segregated and shared content
The bank deployed RocketDocs across multiple lines of business with segregated content libraries per LOB and shared content where it applied. Custom workflows reflected each LOB's approval requirements. The Microsoft Office integration through LaunchPad meant SMEs continued to work in Word and Excel while gaining access to the centralized library.
Beyond reactive RFP response, the bank deployed RapidDocs for proactive proposals: custom client pitches, branded sales decks, and personalized capability statements assembled from approved content blocks.
Implementation was led by RocketDocs' customer success team, with content migration from legacy systems handled in parallel with workflow configuration and team training.
The results
From 2 months to 3 weeks with the same team
- RFP writing cycle reduced from two months to three weeks using the same team members
- Multi-LOB library structure with segregated content where regulation requires and shared content where it makes sense
- RapidDocs adoption for proactive proposal generation alongside reactive RFP response
- Office-native experience preserved for SMEs and writers, with no re-platforming risk
- Audit trail and approval workflows aligned to bank compliance and record keeping requirements
What customers say
Trusted by the teams whose responses cannot be wrong
The tool itself is very simple and direct. I've trained a lot of people on this and they're like, that's all I have to do? It's the way that RocketDocs works with Word. It's very similar to what they're used to. It's very user friendly.
RocketDocs has competitors in the space. But none of them can do what RapidDocs does. I haven't found any that are as good in product suite. So RapidDocs, from my perspective, is pretty unique. It's a great tool. It can save you time. It can help you to do things a lot easier.
Problems are the same for all RFP teams: finding the correct data at the right time, and organizing data into useful libraries and subtopics. RocketDocs allows us to manage more than 10 different lines of business and keep our data organized and structured.
After over 20 years of using different RFP database management systems, I am impressed with the usability and ease of organization in the system. The speed with which my team can locate and update responses is impressive.
Cycle time on enterprise DDQs dropped from six weeks to under two. The private-AI architecture is the only reason our security team ever signed off on adding generative AI to the response workflow at all.
We run all of our institutional questionnaire responses through RocketDocs. Multi-affiliate library structure handles our three lines of business cleanly; SME assignment and review cycles keep content accurate without anyone having to babysit it.
The Excel multi-tab handling is the feature that closed it for us. SIG Lite, SIG Core, CAIQ, our own customer questionnaires — all multi-tab, all native. The other platforms we evaluated either flattened the tabs or charged extra for the capability.
The audit trail is what finally got us off the spreadsheet-and-email pattern. When 21 CFR Part 11 reviewers ask who approved each answer and when, we have a real answer instead of digging through Slack.
Why this matters
Why this matters for other banks
Multi-LOB banks face a structural challenge that single-line businesses do not. Content needs to be shared across LOBs where it makes sense (corporate descriptions, security posture, leadership bios) and segregated where it does not (line-specific products, line-specific compliance attestations, line-specific client commitments). Generic content management platforms force banks to either lump everything together (creating drift and accuracy problems) or run separate platforms per LOB (creating duplication and audit problems).
RocketDocs is built for the multi-LOB pattern. The bank's deployment shows what happens when the platform fits the structure: faster cycles, more capacity, less drift, and the audit trail compliance teams require.
