Workflows and Approvals

Custom workflows for every response, every approval, every time

Build the workflow your compliance team actually approves. Assign sections to SMEs, route content through structured review gates, and lock down final documents with audit trails built in. Bulk actions handle SME assignments, autofill, and completion at scale.

What workflows do in RocketDocs

Replace the email-and-spreadsheet version-control nightmare

A response project has dozens of moving parts. Questions go to SMEs. SMEs draft answers. Drafts go to compliance. Compliance flags issues. Issues go back to SMEs. Final answers are routed to legal. Legal approves. The document goes to production. Every team has its own version of this. Most teams run it in email and spreadsheets making it a version control nightmare.

RocketDocs workflows replace the email-and-spreadsheet pattern with structured, configurable, version controlled, audit-ready project management. Every step is defined. Every assignment is tracked. Every approval is logged. The workflow your compliance team designed is the workflow the platform enforces.

Project workflows

A different workflow for every project type

A project workflow defines the lifecycle of a response from intake to delivery. Each project type can have its own workflow: an RFP project might have different steps than a security questionnaire, which has different steps than a DDQ.

  • Custom project types per response category
  • Configurable workflow stages with action permissions per stage
  • Due date tracking with notifications, reminders and dashboards
  • Project templates for repeatable response patterns

SME assignment

Make SME coordination structured, not ad-hoc

Subject matter experts are the bottleneck on every response project. RocketDocs makes SME coordination structured, not ad-hoc.

  • Assign sections, individual questions, or content topics to specific SMEs
  • Group assignments route to the first available expert in a group
  • Role-based assignments adapt as people change roles
  • Automatic email notifications keep SMEs informed without manual nudging
  • Bulk assignments handle hundreds of questions in seconds

Approval gates

Controlled checkpoints with per-step permissions

Approval gates are the controlled checkpoints in your workflow. Each gate defines who can perform which actions before the project advances to the next stage.

  • Configurable approval gates between every stage
  • Per-step action permissions: who can edit, who can approve, who can publish
  • Multi-level approvals for sensitive content categories
  • Conditional logic: route based on response type, customer, or content sensitivity
  • Final lockdown: once a document is locked, no further changes without explicit unlock from an authorized user

Bulk actions

Work in bulk, not one item at a time

Most platforms force you to act one item at a time. RocketDocs supports bulk actions across the workflow.

  • Bulk SME assignment
  • Bulk autofill across hundreds of questions
  • Bulk AI generation for unmatched questions
  • Bulk content tagging and categorization

Audit trail by default

Every action logged, every approval tracked

Every workflow action is logged. Who assigned what. Who edited what. Who approved what. When each event happened. The audit trail is immutable and exportable, so compliance reporting takes seconds instead of days.

What customers say

Trusted by the teams whose responses cannot be wrong

4.8 / 5 on G2
The tool itself is very simple and direct. I've trained a lot of people on this and they're like, that's all I have to do? It's the way that RocketDocs works with Word. It's very similar to what they're used to. It's very user friendly.

RocketDocs has competitors in the space. But none of them can do what RapidDocs does. I haven't found any that are as good in product suite. So RapidDocs, from my perspective, is pretty unique. It's a great tool. It can save you time. It can help you to do things a lot easier.

Problems are the same for all RFP teams: finding the correct data at the right time, and organizing data into useful libraries and subtopics. RocketDocs allows us to manage more than 10 different lines of business and keep our data organized and structured.
G2 Reviewer
After over 20 years of using different RFP database management systems, I am impressed with the usability and ease of organization in the system. The speed with which my team can locate and update responses is impressive.

Cycle time on enterprise DDQs dropped from six weeks to under two. The private-AI architecture is the only reason our security team ever signed off on adding generative AI to the response workflow at all.

We run all of our institutional questionnaire responses through RocketDocs. Multi-affiliate library structure handles our three lines of business cleanly; SME assignment and review cycles keep content accurate without anyone having to babysit it.

The Excel multi-tab handling is the feature that closed it for us. SIG Lite, SIG Core, CAIQ, our own customer questionnaires — all multi-tab, all native. The other platforms we evaluated either flattened the tabs or charged extra for the capability.

The audit trail is what finally got us off the spreadsheet-and-email pattern. When 21 CFR Part 11 reviewers ask who approved each answer and when, we have a real answer instead of digging through Slack.

FAQ

Frequently asked questions

Can we customize the workflow per project type?

Yes. Each project type can have its own workflow, with its own stages, gates, and permissions. RFP projects, security questionnaires, DDQs, and proposals can each follow a different process mirroring the way your team works.

What happens when an SME does not respond on time?

Notifications escalate based on configurable rules. The dashboard surfaces overdue items by SME, by project/library, and by due date.

Can different lines of business have different workflows?

Yes. Workflows can be customized to a library, a line of business, or a customer segment. Multi-affiliate firms commonly run several workflow configurations in parallel.

How do approval gates work for high-sensitivity content?

Sensitive content can require multi-level approval. For example, a security questionnaire response might require SME approval, then security team approval, then legal approval before the document is final. Each gate has its own assigned reviewers and its own permissions.

Can we lock a document so no further changes are allowed?

Yes. Final documents can be locked by authorized users. Once locked, no further edits are possible until the document is explicitly unlocked. The lock action is logged in the audit trail.

Does the workflow integrate with notifications outside the platform?

Yes. Customizable email notifications as well as in-app notifications are available.
