How SAP cut proposal creation from hours to minutes

SAP’s Global Bid and Proposal Management Team built a self-service platform on RocketDocs. Using the content library and RapidDocs, sales reps now generate compliant, on-brand proposals in 10 to 15 minutes, work that used to take 4 to 6 hours and required waiting on the proposal team.

The challenge

SAP’s sales teams run thousands of deals and respond to thousands of RFPs a year. The central bid and proposal team handles the formal RFP work, but it cannot support every opportunity while the business keeps growing, and anything outside its scope had no fast path to a quality proposal. Two things made it harder. SAP’s product lines change constantly, so last quarter’s content goes stale and falls out of compliance. And the content itself lives across multiple systems and geographies, so finding the right, current answer is a task in itself.

The solution

The team paired RocketDocs’ content library with RapidDocs to build a self-service platform for the opportunities that fall outside the proposal team’s capacity. Reps build proposals themselves from pre-approved, current content, without routing every request back through the team. Work that used to wait on the proposal team became something sales could run on its own.

The results

Proposal creation dropped from 4 to 6 hours to 10 to 15 minutes. Because every self-service proposal pulls from approved content, compliance held without adding a review step. And the bid and proposal team got its time back to focus on complex proposals.
